You have several lists, but they do not match. One may be a CSV, another may be an Excel workbook, and another may be a document with a table. You want one clean master list without manually copying rows or deciding every cleanup rule before you begin.

This workflow keeps it simple. Upload the files, paste one prompt, answer a short series of questions, review the plan, and export the organized list in the format you need.

What you need

  • An AI assistant that accepts file uploads
  • A general idea of what you want the final list to help you do

Remove private or sensitive information that the AI tool does not need. Use only files you are authorized to process.

Step 1: Gather every list

Put the CSV files, spreadsheets, and documents in one place. Do not spend time renaming columns or reorganizing them first. The prompt will inspect what you have and ask what should happen.

Step 2: Upload the files and paste this prompt

You are my master-list workflow builder. Help me combine the attached CSV files, spreadsheets, tables, or list documents into one clean, organized master list.

Do not change the files or build the final list yet. First, inspect the attached files and interview me so you understand the result I need.

Ask one question at a time. Do not ask for information you can reliably determine from the files. For each question, give me two to four simple choices when possible, recommend the best choice based on my files and stated goal, and briefly explain why. Wait for my answer before asking the next question.

Make sure the interview determines:
1. What the lists represent and what I want to use the final list for
2. Which sheets, tables, or sections should be included
3. Which columns should be kept, renamed, combined, created, or removed
4. How the final list should be sorted
5. Which filters or include and exclude rules should be applied
6. How to identify duplicates and which record should win when values conflict
7. How blank, incomplete, or uncertain values should be handled
8. Whether I want a source_file column so I can trace every row
9. Which output format I need, such as CSV or Excel

After the interview, summarize the proposed workflow in plain language. Show the planned final columns, sort order, filters, removal rules, duplicate rule, and output format. Ask me to confirm or change the plan before continuing.

After I confirm:
- Inventory the files, sheets, tables, row counts, and detected headers.
- Create a header-mapping table that shows how each source fits the master list.
- Combine the records using the confirmed rules.
- Never invent missing information. Flag anything uncertain for review.
- Show a ten-row preview before creating the final file.
- Report the starting row count, rows removed by filters, duplicates merged or removed, rows needing review, and final row count.
- Create the downloadable master file in my chosen format.
- Ask whether I want a second copy formatted for a specific platform only after the clean master list is complete.

Step 3: Answer the questions one at a time

You do not need to design the workflow yourself. Tell the AI what the lists represent and what outcome you want. Use its recommendations when they make sense, or choose a different option.

For example, you might choose to sort by company name, keep only active contacts, remove internal notes, merge duplicates by email address, preserve the newest phone number, and export an Excel file. A different set of files may need completely different rules.

Step 4: Confirm the plan before the files are changed

Read the proposed columns, sort order, filters, removal rules, duplicate rule, and output format. Correct anything that does not match your goal. This confirmation keeps the AI from making a quiet assumption that changes your data.

Step 5: Review and export the master list

Check the ten-row preview, totals, duplicate decisions, and review list. Open the downloaded file and spot-check several rows against the originals.

Your clean master list can now be uploaded to a CRM, email platform, accounting tool, project system, or another destination. The destination setup is a separate next step because every platform expects a different format.

Review checklist

  • The final columns match the confirmed plan
  • The sort and filter rules were applied correctly
  • Removed columns are truly unnecessary
  • Duplicate decisions are visible and reasonable
  • Blank or uncertain values were not invented
  • The source and final row counts reconcile
  • Several exported rows match the original files
  • The file contains only information you are authorized to use
